What do the colors of the trucks mean?

There are two different sets of colors used on the “Schedule”. The colors in the truck block, which is the section above the actual schedule data, indicate the availability and status of the truck.

Here is what the colors mean in the truck block: 

  • White - The truck is available and has a driver but is unscheduled.
  • Green - The truck is scheduled for part of the day.
  • Yellow - The truck is fully scheduled for the day.
  • Red - The truck is over-scheduled for the day.
  • Gray - The truck is out of service and can't be scheduled.
  • Blue - The truck has no driver specified and can't be scheduled until a driver is assigned.

The truck assignments in the “Truck” column of the schedule data correspond to the dispatch status of the truck as it relates to the job the truck is assigned to.

  • White – no dispatches have been sent to this truck/driver.
  • Light Green – dispatch(es) have been sent to this truck/driver.
  • Medium Green – the driver has Acknowledged the dispatch or is either enroute or has loaded.
  • Gray – the truck/driver has completed all dispatches for this job.

Why can’t I assign trucks to jobs?

The ability to "Assign Trucks" may depend on certain conditions. Here are some possible conditions that could affect your ability to assign trucks:

  • Check the date of the schedule. The date must not be for a prior date.
  • The order must be open and active.
  • The user must have the necessary permissions.
  • If you are still experiencing issues you may need to reach out to the application support team for further assistance.

How do I remove a job from the schedule?

A job can be removed from the current day’s schedule a number of ways. The job can be deleted if it has no other data such as truck assignments, tickets, or loads. You would delete a job from the schedule by clicking the menu button of the job you want to delete. Then, select the “Orders/Delete” menu option. If the order has associated data, you can either delete that data and then delete the order, or you can “Orders/Cancel” on the menu button for the associated job. Note that you can’t always delete the associated data depending on what it is.

If the customer called in and wants you to move the job to a different date, you should not delete it. Instead, you would select the “Orders/Change Date” menu option from the menu button on the associated job.

How do I set a stagger time?

The easiest way to set a stagger time is on the “Edit job” screen accessed from the schedule. On the “Edit Job” dialog, you should see a “Time on Job” control where you can enter the first time on job. If you have specified more than one truck in the “Requested Trucks” control, you should see a “Clock” icon on the “Time on Job” control. Clicking that icon will display a dialog that lets you specify the stagger time.

I’m receiving a message: “There are too many trucks being assigned to the new order line.”

This message only happens when the “Validate Utilization” setting is checked under the “Dispatching & Messaging” settings. It is because you are trying to assign more trucks to the job than are requested. For example, if you entered “2” for the “Requested Trucks” and try to assign 3 trucks, you’ll see this message.

Our recommendation is to uncheck the “Validate Utilization” setting and you won’t get this message. You’ll still be able to tell when you overscheduled because the truck in the truck block will be red in color.

Can I change the column width for columns in the schedule view?

No, you can’t change the column widths. They are calculated automatically to try to show the most data at various screen resolutions.

How do I change utilization for trucks?

Truck utilization is calculated based on the portion of a day the truck is scheduled. A utilization of 1 means that the truck is 100% utilized for the day.

If a truck exceeds a utilization of 1 for the day it will display in red in the truck block.

You can change the utilization for a single truck on a job with multiple trucks by right-clicking the scheduled truck and selecting the "Change utilization" menu option.

You can set all the trucks on a job to the same utilization by selecting the "Change utilization" menu item for the desired job.

If you don't want to set utilization you don't have to but trucks scheduled for more than 1 job will be displayed in red. The behavior of the schedule can be driven by the "Validate Utilization" setting which prevents overscheduling of trucks. Our recommendation is to uncheck the “Validate Utilization” setting under the “Dispatching & Messaging” settings if it is currently enabled. You can tell if it is enabled if it prevents you from overscheduling trucks.

Don’t worry. With the setting disabled, you’ll still know when you overschedule a truck by looking for the red trucks in the “Truck Block”

How do I assign a truck to the job?

You can assign a truck to a job one of two ways:    

  1. Start typing the truck number in the system and press enter once the desired truck is selected. Or you can start typing the truck code and select the item from the dropdown with your mouse. If the desired truck number is not visible it might be unavailable for various reasons such as it is out of service.
  2. You can also use the "Assign trucks" menu item to bulk assign trucks to the job. The "Assign Trucks" dialog allows you to filter, sort, and bulk select trucks to assign to the job.

How do I add trucks to the job?

Adding a truck to a job is the same as assigning a truck to a job. You can assign a truck to a job one of two ways:

How can you add a truck to a job if it’s over-scheduled?

If you uncheck the “Validate Utilization” setting under the “Dispatching and Messaging” tab under “Administration/Settings”, you’ll be able to overschedule trucks for the day. Don’t worry, you’ll still be able to tell when you overscheduled because the truck in the truck block will be red in color.

How do you remove a truck from a job after it’s acknowledged?

First, remove the acknowledged dispatch from the “Truck Dispatch List”. Then, if no other dispatches have been assigned to the truck on this job, you can remove the assignment from the schedule by clicking on the “x” on the appropriate truck assignment. When prompted, select the option to “Remove” the truck. If the truck has history from other dispatches, you’ll only be able to “Mark Complete” so you don’t lose history.

How do I remove a driver from a truck for good?

You can remove a driver as the default driver of a truck and they won’t automatically be assigned to the truck every day on the schedule.

  • To do this, click the “Trucks/Trucks” option on the main menu. This will open the “Truck List”.
  • Search for the desired truck.
  • Select the “Edit” option from the menu button associated with this truck.
  • Remove the current default driver or enter a new default driver for the truck.
  • Click the “Save” button.

How do you change the everyday assigned driver to a truck?

The driver that is automatically assigned to a truck every day on the schedule is called the “Default Driver”.

You can change the default driver for a truck as follows:

  • Click the “Trucks/Trucks” option on the main menu. This will open the “Truck List”.
  • Search for the desired truck.
  • Select the “Edit” option from the menu button associated with this truck.
  • Remove the current default driver or enter a new default driver for the truck.
  • Click the “Save” button.

How do you complete one truck on a job and not the others?

To mark a single truck on a job as complete, you can right-click on the desired truck on the job you want to complete them on. Then select the “Mark complete” option. This will result in the single truck being marked complete. The truck tag will have a gray background and the “x” will be hidden.

How do I mark a job complete.

To mark a job complete in the Dump Truck Dispatcher application you can follow these steps: 

  1. Find the desired job on the schedule.
  2. Click on the menu button for that job.
  3. From the menu options select "Mark Complete". This will mark the job as complete and remove any dispatches associated with it that haven't been started.
  4. If the "Hide Completed Jobs" checkbox is checked the job will be removed from the schedule. Otherwise, the text color for the job will change to light gray and all the truck assignments will have a gray background and the “x” will be hidden.

What tokens are available for dispatching messages?

The available tokens for dispatching messages are:  

  • {DeliveryDate}: Delivery date of the order
  • {Shift}: Shift of the order
  • {OrderNumber}: Order number of the order
  • {Customer}: Customer's name
  • {LoadAt}: "Load at" value present in order
  • {DeliverTo}: "Deliver to" value present in order
  • {UOM}: "UOM" value present on order line
  • {Route}: "Route" value present on order line
  • {ChargeTo}: "Charge to" value present on the order
  • {Directions}: "Directions" value present in order
  • {TimeOnJob}: "Time on Job" value present in order
  • {StartTime}: "Clock in time" value present in order
  • {Item}: "Item" value present on order line
  • {Supplier}: "Supplier" value present on order line
  • {Quantity}: "Quantity" value present on order line

When looking at the schedule, is there an option to look at more than just 1 day at a time?

I’m sorry, but you can only look at one day or shift at a time. We might support a multi-day view in the future.

If I am dispatching 5 trucks to a quarry, should I enter 5 different orders or 1 job?

The answer depends on the situation. If you are dispatching them to a quarry like Vulcan materials where your driver will be running the Trux app, you may create a single order that gets the 5 trucks to the quarry and indicates to the drivers to use the Trux app.

Typically for quarry jobs, you don’t know where the trucks are going in advance. If you do know where they are going, you can create the dispatches in advance based on what you know.

If you don’t know, then a single order would be best even if you don’t know the detail. This will get them to the quarry on time. Then when you have the tickets you can edit the job or add new jobs as necessary.

You will need to have the correct jobs entered before you’ll be able to add the tickets.

Can I track the progress of individual loads?

Yes, there are two ways to see the progress of a load. First is via the “Truck Dispatch” list where you can see the status of the job near the bottom of the dispatch card.

The other option is to view the “Load History” which shows the acknowledgement, loaded, and delivery times.

How do you deactivate a truck so it does not show up on the dispatch screen any longer?

To deactivate a truck so it does not show up on the dispatch screen you can follow these steps: 

  1. Click the “Trucks/Trucks” menu item on the main menu.
  2. Find the truck that you want to deactivate and click on the menu button (button with ellipsis…) in the right column of the appropriate truck’s row.
  3. In the dropdown menu select "Edit".
  4. This will open the “Edit Truck” dialog. Uncheck the "Active" checkbox to deactivate the truck.
  5. Click on the "Save" button to save the changes.
  6. Once the truck is deactivated it will no longer show up on the schedule.
