Invoice Templates Guide 2

These are the templates if you have the "Separate Freight and Material Items" feature enabled. If you opened your account in 2025, this feature is enabled. You can tell it is enabled if you can enter the freight item (e.g. hauling) separate from the product (e.g. Sand). If you do not have this feature enabled, your templates will look like the ones shown on this other page.

Invoice Templates Overview

Our invoice templates are designed to meet different billing needs, whether you prefer a simple breakdown or a detailed summary with load and delivery information. Each format highlights key details like ticket numbers, rates, delivery locations, and totals, making it easier for your customers to review and process payments.

Below, you will find examples of the various templates available, so you can choose the one that best fits your workflow.

 

Invoice Template 1 – Hourly Hauling without Quantity or Rate Columns

This template is designed for hourly hauling jobs. Each row includes the ticket number, hauler, truck, date, a detailed description, and the amount. The description explains the number of loads, tons hauled, and job site details. The bottom section provides the tax rate, tax amount, and total due. This layout is a simple way to summarize hourly hauling work.

Invoice Template 2 – Hourly Hauling with Quantity and Rate Columns

This template is built for hourly hauling and includes separate columns for quantity and rate alongside ticket details. Each line item shows the ticket number, truck, date, item, description, quantity, rate, and amount. The description provides full details on loads, tons hauled, and job site information. The bottom section summarizes the tax rate, tax amount, and total due. This layout gives a clearer breakdown for hourly hauling invoices that need quantity and rate visibility.

Invoice Template 3 – Same as Template 2 with Larger Logo on the Right

This template is the same as Template 2 with the same columns for hourly hauling, including ticket number, truck, date, item, description, quantity, rate, and amount. The only difference is the company logo, which is placed on the right side and is larger in size. The totals section at the bottom shows the tax rate, tax amount, and total due. Use this layout if you prefer a more prominent logo for branding.

Invoice Template 4 – Hourly Hauling with PO Number and Job Number Column

This template is tailored for hourly hauling and includes a PO number in the header for easy reference. The table includes ticket number, truck, date, job number, description, quantity, rate, and amount. The description provides details on loads, tons hauled, and delivery locations for each ticket. This format is useful when purchase order tracking is required along with job details.

Invoice Template 5 – Hourly Hauling with Date-First Column Order

This template is for hourly hauling and includes the PO number in the header for easy tracking. The table starts with the date column first, followed by truck, ticket number, job number, description, quantity, rate, and amount. The description provides details like loads hauled, tons hauled, and delivery location for each ticket.

Totals at the bottom include the tax rate, tax amount, and final total. This format is helpful if you want the invoice organized by date with PO tracking at the top.

Invoice Template 6 – Minimal Description with Haul Rate and Material Rate 

This template includes a PO number in the header and a clear breakdown of charges. The table shows date, truck, ticket number, job number, quantity, haul rate, material or dump rate, and amount. Totals at the bottom include total units and the final amount due. This format provides a simple view of haul and material charges side by side.

Invoice Template 7 – Same as Template 5 but Haul Rate and Material Rate is Separated

This template follows the same structure as Template 5 with a PO number in the header and the table starting with the date column. The difference is the rate column is separated into two columns for haul rate and material or dump rate. The table includes date, truck, ticket number, job number, description, quantity, haul rate, material rate, and amount. Totals at the bottom show the tax rate, tax amount, and total due.

Invoice Template 8 – "Remit To" Section at the Top Right

This template provides a detailed breakdown with separate haul rate and material or dump rate columns. The table includes date, truck, ticket number, job number, description, quantity, haul rate, material rate, and amount. The main difference in this layout is the "Remit To" section is positioned at the top right corner beside the balance due. Totals at the bottom include the tax rate, tax amount, and final total.

Invoice Template 9 – Grouped by Customer, Job, and Product

This template organizes line items into groups by customer, job, and product. Each group has its own section with totals for material total, haul total, and overall total for that job. The table includes ticket number, truck, date, quantity, rate, material total, haul total, other fees, tax total, and line item total.

A grand total at the bottom combines all sections into the final amount due. This layout is useful when summarizing charges across different products or services under the same job.

Invoice Template 10 – Grouped by Customer, Job, Product, and Location with Rates Specified

This template follows the same grouping structure as Template 9, organizing charges by customer, job, product, and location. The key difference is that haul rate and material or dump rate are specified separately in the table. This layout provides more detailed rate visibility while keeping the grouped format, making it easier to review charges for different locations or services under the same job. The totals section summarizes each group and provides a final invoice total at the bottom.

Invoice Template 11 – Detailed Load and Delivery Information

This template presents each load separately with key details like item type, loaded at location, and delivery location for every line item. It includes quantity, rate, and amount columns, making it easy to review delivery specifics for each ticket. The PO number and remit to section are positioned at the top, while the bottom section displays the subtotal, tax rate, and total due. This format provides clear visibility of where each load originated and was delivered.
