Invoice Templates Guide

These are the templates available if the "Separate Freight and Material Items" feature is not enabled. If you started with us before 2025, this feature may not be enabled. You can tell it is enabled if you can enter the freight item (e.g. hauling) separate from the product (e.g. Sand). If you do not have this feature enabled, your templates will look like the ones shown on this other page.

Overview of Available Invoice Templates

Dump Truck Dispatcher provides several invoice templates so you can choose the layout that works best for your business and your customers. Each template includes the same basic details but presents them in a different format. Use this guide to review your options and pick the format that fits how you want to present your invoices.

 

Invoice Template 1  - Line items without Quantity and Rate

This template offers a clean, easy-to-read layout with all the key billing details up top like invoice number, dates, and balance due. Each ticket is listed in a simple table with columns for ticket number, hauler, truck, date, description, and amount. Job details are clearly outlined in the description column, making it easy for customers to track what was delivered and where. The bottom section shows the tax rate, tax amount, and total due.

Invoice Template 2 – Line Item with Quantity and Rate

This invoice format adds more detail to each entry by including item name, quantity, and rate alongside the usual ticket info. Instead of just showing total amounts, it breaks down the cost calculation clearly—perfect for customers who want to see unit pricing. Job Number is also highlighted near the top for easy reference. This template works well when your customers expect detailed breakdowns of each haul.

Invoice Template 3 – Itemized with Right-Aligned Logo

This template mirrors the structure of Template 2 with detailed line items that include ticket number, truck, date, item, description, quantity, rate, and amount. The only difference is the logo is placed in the upper right section beside the invoice information.

Invoice Template 4 – Includes Job Number Column

This version adds a dedicated "Job #" column to the line item table, making it easier to track which tickets are tied to which job numbers. It’s especially helpful if you work on multiple jobs for the same customer and want to show that clearly on a single invoice. The rest of the layout is similar to previous templates, with quantity, rate, and amount shown in each row.

Invoice Template 5 – Date-First Column Layout

This template changes the order of the columns, starting with the Date instead of the Ticket #. It's a subtle but helpful shift if your customers review invoices chronologically or need to match charges by service date. The rest of the details like truck, ticket number, job number, description, quantity, rate, and amount are all included in the same clear table format. It’s a great option for teams that prioritize date-based sorting when reviewing job history or reconciling records.

Invoice Template 6 – Compact with Haul Rate and Material Rate Format

This template is designed for companies that want to show the breakdown between the haul rate and the material or dump rate or that need our most compact format. Each row includes the date, truck number, ticket number, job number, quantity, haul rate, material rate, and the total amount. Customers can see exactly how the charges were calculated line by line.

You will find a summary of total units listed below the table. This format is ideal when you need to clearly separate service and material charges for each job.

Invoice Template 7 – Includes Job Description for Haul and Material Rates

This template is similar to Template 6 but includes a dedicated column for the job description. It displays the date, truck, ticket number, job number, description, quantity, haul rate, material rate, and total amount. The  description field helps give full context for each delivery.

Invoice Template 8 – Full Description Format with "Remit To" at the Top

This template follows the same structure as Template 7, showing full job descriptions and a detailed cost breakdown with quantity, haul rate, and material or dump rate. The main difference is that the “Remit To” section is moved to the top right, just below the logo and invoice details. This makes payment information easier to find at a glance, which can be helpful for accounting teams processing the invoice.

Invoice Template 9 – Grouped by Customer, Job, and Material

This template is organized to group invoice details by customer, job number, and material type. Job details like job number, reference address, and material name appear at the top, giving a clear summary before the line items. Each row shows the ticket number, truck, date, quantity, rate, material total, haul total, other fees, tax total, and the final line amount. At the bottom, the totals are broken down by type, with a bold final line showing the total amount due including taxes and fees.

Invoice Template 10 – Includes Load and Delivery Locations

This template adds two dedicated columns: “Loaded At” and “Delivery To.” It shows where each load originated and where it was delivered, making it easy for your customers to verify haul locations. The layout includes the date, ticket number, item, quantity, rate, and amount, with a clean and professional format. The "Remit To" details are shown at the top, with the total listed at the bottom.
